The Problem:

It’s tiring typing the same thing over and over again, especially when it involves something as common as the departing text in an email:

How can all  this be added automatically?

The Solution:

Those little messages that are placed at the end of emails are called ‘Sig files’, or signature files.  They are can be placed there automatically using a built-in feature in Outlook and Outlook Express.  Here’s what you need to do:

  1. Open Outlook.
  2. Click on the ‘Tools” menu and then ‘Options’.
  3. If you’re using Outlook Express, click on the ‘Signatures’ tab and then ‘New’.
  4. If you’re using Outlook, click on ‘Mail Format’ and then ‘Signatures’ and then ‘New.’
  5. Enter the requested information.
  6. Choose whether you want the signature added to both newly created email and reply email.
  7. Click ‘Apply’ and then ‘OK’.

Go ahead and send yourself an email to see how it looks.  Go back and perform the same steps if you want to edit or delete your new sig file.

Want to create signature files for other programs?  Go to your desktop, click on ‘Start,’ choose ‘Run’ and type in ‘Notepad’ without the quotes.  Click ‘OK.’ This gets you into the Notepad feature of Windows.  Enter the text you want to automate and save the file to your desktop as a *.txt file. Whenever you need that text message, just open that file and copy and paste the desired text into the new program.  For quick and easy access, drag your txt file’s icon onto your desktop’s toolbar.
